Invoice4You Review for UK Tradespeople (2026)
Invoice4You is a free, early-access quoting and invoicing app for UK sole traders, built by SFTWARES LTD. We tested quote-to-invoice conversion, multi-entity switching, bank-statement-ready expense categories and mileage tracking against a realistic two-business test account, and found no bugs. The one real gap: CIS support for subcontractor payments isn’t built yet.
What Is Invoice4You?
Invoice4You is a quoting and invoicing web app aimed at UK sole traders, built by Marius at SFTWARES LTD (Companies House #17126208). It’s currently free during an early-access period, with the founder committing to tell existing users first if paid plans are introduced later. The web app is live now at app.invoice4you.app, with iOS and Android apps in app store review. It isn’t trade-specific by default, it’s built for UK sole traders generally, but its Self Assessment-aligned expense categories make it a genuine fit for tradespeople doing their own books.
What We Tested
Multi-entity switching
Ran two businesses on one login (a sole trader and a small Ltd company) and confirmed each keeps its own separate invoice numbering sequence.
Quote-to-invoice conversion
Converted an accepted quote to an invoice and checked that the reference carried over automatically, rather than starting from a blank invoice.
Expense categories & SA103F
Checked expense categories against the actual Self Assessment SA103F boxes, including home office flat rates and the mileage rate.
Profit & Loss report
Checked the arithmetic on the built-in P&L report and how honestly it’s labelled against a real tax computation.
How the Core Workflow Held Up
Switching between the two test businesses (a sole trader carpentry outfit and a separate Ltd company on the same login) kept each one’s invoice numbering completely separate, one running its own sequence, the other its own, with no cross-contamination between them. Converting an accepted quote into an invoice carried the reference across automatically, for example an invoice correctly noted it came “from accepted quote Q-2026-004” rather than starting from a blank invoice and losing that paper trail. Payment reminders are configurable, you can set who gets nudged and on what follow-up cadence, rather than a single fixed reminder for everyone.
How the Tax & Expense Side Held Up
This is where Invoice4You is strongest. Expense categories map directly to the actual UK Self Assessment SA103F boxes, not a generic set of labels, including a specific “Payments to subcontractors” category. Home office flat-rate expenses matched HMRC’s real figures exactly (£10/£18/£26 for 25–50/51–100/101+ hours a month), and the mileage calculator correctly used 55p per mile for the first 10,000 business miles, the rate HMRC raised from 45p in 2026. The Profit & Loss report’s arithmetic checked out and is honestly labelled as a working estimate, not a tax computation, no allowances or reliefs applied, rather than overselling what it actually is.
Who Is Invoice4You Best Suited To?
Worth knowing before you start
- No CIS deduction tracking yet – there’s a “Payments to subcontractors” expense category for businesses that pay subs, but no CIS deduction calculation or running “CIS suffered” total for subcontractors having tax deducted from their own invoices. The founder confirmed this is the first thing being built post-launch, weeks rather than months away, and that it will calculate and show CIS rather than verify subcontractors or file with HMRC directly.
- Free during early access, not a permanent guarantee – the founder has committed to telling existing users first if paid plans are introduced, but there’s no locked-in free tier promised long-term.
- Mobile apps not live yet – iOS and Android apps were in app store review at the time of testing; the web app already does receipt scanning via your phone’s camera in-browser in the meantime.

Verdict – Is Invoice4You Worth It?
Invoice4You gets the fundamentals right, quote-to-invoice conversion, multi-entity handling and expense categories that map straight onto your actual Self Assessment return, all without a single bug turning up across a full test pass. Being free during early access makes it an easy one to try. It’s not yet the answer if you’re a subcontractor needing CIS deductions tracked, that’s explicitly on the founder’s post-launch roadmap, but for a sole trader who wants clean books without paying for a full platform, it’s a genuinely solid pick worth revisiting once CIS lands.
